1. Who we are
Charles Byte is the trading name of an individual sole proprietorship based in India, providing remote IT support services to individuals and businesses in India. Our current offering includes remote troubleshooting for supported computers and software. Onsite support is not currently offered.
For privacy questions, requests concerning your personal information, or complaints, contact:
Email: info@charlesbyte.com
Legal review required: Confirm the operator's legal identity, business address and any additional details required before publication.
2. Information we collect
We collect information needed to review support requests, schedule appointments, deliver remote technical support, process payments and respond to customer enquiries.
Depending on how you use our website, this may include:
- Support requests: Your name, email address, phone number, optional company name, device type, operating system, issue category, issue description and preferred contact method.
- Contact and quote enquiries: Your name, email address, company information if supplied, phone number if supplied, and the message or service details you submit.
- Appointments and sessions: Appointment dates and times, appointment and session statuses, session start and end times, and related service records.
- Payment and invoice information: Payment status, amount, payment-provider references, invoice details and refund status. Payment processing is handled by our payment provider. Charles Byte does not receive or store your full card details, UPI PIN or bank authentication credentials through its application.
- Feedback: Your optional 1–5-star rating and written comments following an eligible support session.
- Live chat: Messages and information you provide through Zoho SalesIQ, our website chat provider.
- Security and technical information: Information needed to protect the website and prevent abuse, including IP addresses used for rate limiting, request metadata and relevant technical error information.
Please do not submit passwords, payment credentials, verification codes or sensitive personal documents through enquiry forms or chat.
3. How we use your information
We use your information to:
- Review whether an issue can be handled remotely and manage your support request.
- Schedule, deliver and document support sessions.
- Send service confirmations, status notifications, receipts and invoices.
- Respond to contact enquiries, quote requests and complaints.
- Handle refunds and disputes.
- Provide customer tracking, feedback and service history.
- Protect our systems, detect abuse and enforce access controls.
- Meet applicable legal, tax, accounting and regulatory obligations.
Under our current service model, we do not sell your personal information or send marketing emails.
4. Customer tracking links
When you submit a support request, we may email you a private link to track that request.
The link contains a secret access token. We store a SHA-256 hash of the token in our ticket database rather than the raw token. The raw token is included in the tracking URL so the website can authenticate your access.
Anyone who obtains your complete, valid tracking link may be able to view the associated request and its permitted history. Keep the link private and avoid sharing it or posting it publicly.
A ticket number alone does not authorize access.
The tracking page may show your ticket status, related appointments and support sessions, permitted receipts and invoices, and feedback. It does not intentionally expose internal staff notes, review reasons, token hashes or Zoho remote-session credentials.
URLs may remain in browser history or be processed by systems involved in delivering a web request. We do not claim that a token-bearing URL can never appear in those places.
5. Remote support and screen access
Remote support sessions use Zoho Assist.
During a session, an authorized technician may be able to view and control your screen within the permissions provided by the remote-support software and your actions in the session.
Before starting:
- Close private documents, messages and browser tabs that are not relevant to the issue.
- Do not disclose passwords, banking credentials or verification codes.
- Allow remote access only to devices you own or are authorized to manage.
- Back up important files before troubleshooting.
Our current Zoho Assist integration is configured for live remote support. Session recording is set to disabled in the external service settings; this setting has not been independently audited or verified. Zoho may still process technical, connection and service information, including session metadata, under its own terms and policies.
Review required: Reconfirm the live-session and recording configuration, retention settings and relevant vendor data practices before publication.
6. Service providers
We use service providers to operate Charles Byte:
- Cashfree Payments: Payment processing where payment collection is enabled.
- Zoho Assist: Remote support sessions.
- Zoho SalesIQ: Website live chat.
- Hosting and database providers: Website operation and storage of support, appointment and related records.
- Email provider: Delivery of service confirmations, contact notifications and other operational emails.
We share information with these providers as needed for the relevant service. They may process information under their own applicable terms and privacy documentation.
We may also disclose information where reasonably necessary to comply with applicable law, respond to lawful requests, protect our systems, or address fraud, security incidents or disputes.
Legal review required: Verify current provider privacy links, applicable data-processing arrangements, and any additional disclosures required before publication.
7. How long we keep information
Our proposed retention approach is based on keeping information only as long as reasonably needed for its purpose, subject to applicable legal and operational requirements.
- Support requests and session records: We intend to review these records for deletion or anonymisation approximately 12 months after a ticket is closed, where retention is no longer needed for support, security, legal obligations or disputes.
- Contact and quote enquiries: We intend to review enquiries for deletion approximately 180 days after the last meaningful communication, unless they become part of a customer support record or need to be retained for an ongoing matter.
- Payments and invoices: We retain financial records for the period required by applicable accounting, tax and other legal obligations, including Goods and Services Tax (GST) record-retention requirements. The precise retention period is pending accountant or qualified-adviser confirmation.
- Technical access logs and rate-limiting records: We intend to review these records for deletion approximately 90 days after they are created, unless longer retention is needed to investigate a security incident, prevent fraud or abuse, or meet legal requirements.
- Security and audit records: Relevant records may need to be retained to investigate incidents, prevent abuse, establish what occurred or meet legal obligations.
These are policy review targets, not guaranteed deletion dates. The current application does not have an automated data-purge mechanism.
Accountant and legal review required: Confirm financial-record retention periods and the feasibility and legal sufficiency of the proposed support-record and enquiry-review periods. Address backups, immutable audit logs and lawful exceptions before publication.
8. Your privacy requests
You may email info@charlesbyte.com to ask about your personal information or request correction or deletion where applicable.
We will review requests and respond at the earliest possible opportunity. Some information may need to be retained to meet legal obligations, maintain accounting records, preserve relevant security evidence or resolve disputes.
Some records, including submitted feedback and certain audit entries, are protected by database-level immutability controls. Requests affecting these records will need to be assessed in light of applicable legal obligations and the technical controls governing those records.
Legal review required: Confirm applicable data-protection rights, notice requirements, grievance-handling obligations, designated contact requirements and response deadlines. Check the provisions and commencement dates applicable to Charles Byte before stating specific statutory rights or deadlines.
9. Security
We use measures such as server-side token verification, access controls, database permissions and audit records to help protect customer information.
No website, email transmission or remote-support connection can be guaranteed to be completely secure. Protect your tracking links and notify us if you believe a link or service-related communication has been exposed.
10. Changes to this policy
We may update this policy when our services, technology or legal obligations change. The latest version will be published on this page with its updated date.
